Converting Doc Files into PDF

“Please convert the final output into a PDF file before you submit it to me.”

This was my client’s instructions. I wondered why she wanted me to convert her documents to the PDF file format. So I googled it and here is what I found out.

PDF Files are:

1. Easy to open

PDF files are compatible with basically any system. If you  use Windows, Mac, Linux, and Android  you will be able to access and open PDF files.

2. It’s free

PDF files can be opened, viewed and printed out with any PDF file reader such as Adobe Acrobat Reader,  which is a free software that can be downloaded and installed from the internet. Hence, you can share your documents with anyone.

3.  Secure

Documents in PDF file formats cannot be altered or edited because it is a “read only” document. Also, PDF files have a slim chance of getting infected with a virus or Trojan.

4. Compact

When a document is converted  into a PDF file, the document is compressed to an estimate of 25% of its original size, without losing quality.  Smaller and compressed files allow the document to open quickly and occupies lesser space.

5. Meets legal document requirements

For an imaged electronic document to be admissible in a court of law, it must be kept in a file format that cannot be altered without leaving an electronic footprint. Since PDF file format has this characteristic (read only document), hence PDF file documents will stand in the court of law.

6. Easy to create

The internet is flooded with software applications that offer free conversion of any file into a PDF file format.

These are just some of the reasons why it is advantageous to convert your files into PDF format.
